Job description
Summary: This position is a full-time role working part-time in our wellness center as a PT Tech and working part-time with our Medical Records team scanning in documents to convert them to electronic records.
The PT Tech position is responsible for greeting and signing in patients in a prompt, courteous, and professional manner, checking them out after the appointment, and making patient appointments following medical practice procedures.
Responsibilities:
- Greets patients and visitors promptly with courtesy and compassion and checks patients in and out before and after appointments.
- Facilitates patient flow and communicates changes with patients and clinical staff.
- Starts patients on equipment or exercises as directed by the physical therapist.
- Appropriately and courteously screens solicitors for relevance to the organization’s needs.
- Updates patient information and ensures completion of appropriate paperwork prior to checking the patient in.
- Verifies insurance, co-pays, current demographic information, scans ID and insurance cards into the system.
- Explains financial requirements to the patients or responsible parties, collects copays as required and posts copays and payments on account balances.
- Reconciles daily deposits and run necessary reports daily.
- Schedules appointments for patients, makes reminders calls one business day before appointments, and maintains the schedule (e.g. cancellations or additions) to ensure accuracy.
- Prepares treatment rooms for patients by following prescribed procedures and protocols.
- Supports therapists by preparing heat packs, exercise equipment, modalities, and cleaning equipment.
- Maintains physical therapy supplies inventory by checking stock to determine inventory levels.
- Maintains a safe and clean working environment by complying with daily cleanliness, deep clean procedures, and maintaining laundry.
- Updates job knowledge by participating in educational opportunities.
- Assembles patients’ paper health information in preparation for scanning.
- Scans documents into the appropriate patient folder within the patient chart.
- Scans records proficiently into the EMR.
- Brings document questions to Medical Records staff to ensure accurate scanning.
- Maintains HIPAA compliance.
- Performs other duties as assigned
Job requirements
- Knowledge of medical practice protocols related to scheduling appointments.
- Knowledge of computerized scheduling systems.
- Knowledge of customer service principles and techniques.
- Knowledge of medical terminology.
- Knowledge of basic math and modern office procedures.
- Ability to multitask effectively, dealing with phone calls, in-office patients, staff, and others pleasantly.
- Ability to communicate calmly and clearly with patients about appointments in all circumstances including when they are ill or have an emergency.
- Ability to analyze situations and respond appropriately.
- Ability to maintain confidentiality regarding patient records.
- Physical Therapy or Medical Exercise Experience (preferred).
